WV 2.12 Optimizing GDPR anonymization processes is key to stay up to date with the regulation while making the best out of the data captured on any touch point you made with your contacts. The regulation differs depending on the kind of interaction you had with contacts (e.g.: prospects versus purchasers).


The batch used to mass process you contact will have new filters available to support the following processes :

  • Contacts managed in 3rd party system (e.g. CRM, mass mailing marketing products,...)

You are using S-360 in combination with a third party CRM or contact management tool, then you may need to be able to handle the GDPR anonymization process based on the third party product. You will be able to tag with a contact criterion named External GDPR Delete" all the contacts to be anonymized with an import of data. The GDPR anonymization batch introduces new filters that let you anonymize the contact data based on the contact criterion "external GDPR delete".


  • Setup different anonymization rules depending if the contact is a customer or a prospect.

According to GDPR compliance a customer having done a purchase in S-360 can have his data kept for 10 years from the last purchase date. A prospect being a contact registered in S-360 that have not make an transaction can be kept up to 3 years. To comply with this regulation, the GDPR anonymization batch will let you now apply different anonymization period for those type of contact data. 



Getting started

Contacts managed in a 3rd party

  1. Extract the list of contact to be deleted from the 3rd party system.
  2. Connect to S-360 go to the import section of SAM >> Import.
  3. A new contact criterion is now available "external GDRP delete".
  4. Prepare your importation file in order to update the value of this new contact criteria to "TRUE".
  5. Import the data.
  6. Go to the anonymization batch in the Schedule section from Tools >> Batches.
  7. In the new filters section highlighted in purple make sure to check "Contact criteria "External GDPR Delete (EXTDEL)" value = True option.
  8. Run the batch.
  9. Please make sure to use the simulation to check the list of contact that will impacted by the filters you set in your batch before running it.

Side note : Here we propose to use the importation process of SAM as an example, but as we are simply updating the value of a contact criteria you can also call our API from the 3rd party system to update the value of the contact criteria.

Different processing of Prospects and customers

  1. Go to the anonymization batch in the Schedule section from Tools >> Batches.
  2. In the new filters section highlighted in purple you can decide which type of contacts you want the batch to process for you.
    1. Prospects : contacts being in the database not having made any transactions
    2. Customers : contacts being in the database having done at least one transaction.
  3. Set the "contacts inactive for" period filter according to your need. 
  4. Run the batch.
  5. Please make sure to use the simulation to check the list of contact that will impacted by the filters you set in your batch before running it.
