You can find the Contact module in the Organism Context.

In Secutix, there are two main types of contacts:

  • Individuals: A physical person. They have two main roles:
      • Public: Private person, non related to a company
      • Relay: Professional individual linked to a structure
  • Structures: Enterprises, companies, schools, NGOs... Also known as legal persons.

Different connections can be established among the contact files depending on their contact role in the organization. We are going to see that in more detail within the contact file, but you can check them out here.

However, it is important to mention at this point that it is recommended to have as many contact files for an individual as needed. For example:

Mary Smith could have a personal contact file (individual public), and a relay contact file for her role with a structure (e.g.: teacher at Westfield School). All structures need a relay, a professional that would act as the point of contact. If Mary Smith happened to be the relay of a second structure (e.g.: teacher at Eastfield School), she would then have a third contact file. Ideally, she would have a different email address for each of these contact files.

It is very important not to turn an individual public contact file with any history (events attendance, purchases...) into a relay: all the history of the individual contact file would then be linked to the structure that individual would be a relay of.

There are also other types of contacts. However, depending on the needs of your institution, you might not see all of them.

  • Guides: The schedule and the visits they guide can be managed with Secutix. You can learn more about them here.
  • Suppliers: This type of contact is only used if your institution is managing shops with Secutix, which is done through the Goods menu within the Organism Context.
  • Partners: These are contacts whose company have a commercial agreement with your institution.
  • Producers: These contacts that can be associated with an event as producers, and therefore they can access the sales information of the event they are associated with.
  • Support: This type of contact is usually someone from your institution that will be in direct contact with the clients. With this type of contact they will be able to access the online accounts that clients and prospects have created in your institution. This way they will be able to carry out support verifications and guide them through their online accounts when needed.
